AI follow-up for estate agents: build a reliable enquiry queue
A useful AI follow-up trial begins with a controlled list of enquiries. The aim is a queue showing who needs a response, why, and who owns the next action. Generating a large batch of generic sales messages is not an adequate test.
Supply the right records
Use enquiry IDs, receipt times, the customer's stated request, property or location details, last meaningful contact, agreed next action, assigned owner and permitted channel. Supply the agency’s contact rules. An absent contact-permission field should result in a check, not a drafted campaign.
Use a transparent priority rule
Start with explicit unanswered requests and overdue commitments. Keep an applicant enquiry separate from a valuation request. The AI must explain each priority using supplied facts. It should not infer that a buyer owns a property, needs a mortgage or is ready to instruct you.
Return a queue the team can use
Ask for: record ID; evidence for priority; missing information; suggested next step; owner; draft reply. An existing open task should be flagged to its owner rather than duplicated. If two records conflict, the output should ask for reconciliation.
Test difficult examples
- A duplicate enquiry with two owners: flag it and avoid two replies.
- A do-not-contact record: exclude it from message drafting.
- A customer whose circumstances may have changed: ask rather than assume.
- A requested callback already completed: do not re-create it.
- No current valuation availability: ask staff to check rather than offer a slot.
Measure useful progress
Track reviewed records, valid next actions, time to first staff response, appointments agreed and completed appointments. Record how much staff time goes into corrections. Additional fees are a later outcome and need a clear attribution period.
Compare a real implementation
The Compass follow-up example describes an embedded assistant and prospecting recommendations. The Keller Williams context example explores reusable business information. These are source-reported implementations; the simple queue proposed here is our suggested trial.
